Background

UN Women, grounded in the vision of equality enshrined in the Charter of the United Nations, works for the elimination of discrimination against women and girls; the empowerment of women; and the achievement of equality between women and men as partners and beneficiaries of development, human rights, humanitarian action and peace and security.

The year of 2020 will mark the 25th anniversary of the Beijing Declaration and Platform for Action (Beijing Declaration) – the most progressive blueprint for advancing women’s rights. On this occasion, UN Women will convene the Generation Equality Forum, a civil society–centered, multi-stakeholder, global gathering for gender equality, co-hosted by the governments of Mexico and France. The Forum will kick off in Mexico City, Mexico (7–8 May 2020), and culminate in Paris, France (7–10 July 2020).

To make the conversation global and allow allies and advocates from all over the world to be part of and influence the Generation Equality Forum conversations, countries from different regions will organize satellite sessions. Taking place simultaneously during the Paris Forum, satellite sessions will bring together gender equality activists, youth champions, government representatives, private sector and other stakeholders in a call for action alongside the Generation Equality Forum. The objective of the satellite session is to amplify the voices of diverse stakeholders across geographic locations and sectors in a common conversation to achieve gender equality and women’s empowerment, while calling for specific changes and commitments in line with recommendations in the regional and national Beijing +25 reports. Jordan will host the regional satellite session for the Arab States region.

In this regard, the UN Women Country Office for Jordan seeks to hire a senior Event Manager (international consultant) to lead the organization of the satellite session, as well as to support the implementation of advocacy events and initiatives leading up to the event.

The Event Manager will liaise with departments and individuals within UN Women as well as with external partners, supporting the timely and participatory engagement of members of the national steering committee overseeing the organization of the event. S/he will support forging strategic partnerships, leading on the management of and communications with the external event production company.

Duties and Responsibilities

Under overall guidance of the UN Women Country Representative and the direct supervision of the UN Women Head of Programmes, the consultant will perform the following tasks:

Manage internal coordination and communications for the organization of the satellite session and other relevant events.

  • Support the development of an action plan and a clear timeframe for the organization of the satellite session and related events in consultation with relevant departments and individuals in UN Women;
  • Organize regular internal coordination meetings and ensure timely follow up on action points agreed towards the organization satellite session and related events;
  • Develop internal updates, progress reports and other related communication material on the organization of the satellite session as well as other milestone events;
  • Ensure that members of senior management are abreast of progress, including the timely identification of bottlenecks and challenges.

Coordinate the work of the national Steering Committee and ensure inclusive partner engagement in the events.

  • Support the regular convening and communications among members of the national Steering Committee in preparation of the event, including follow up on action points;
  • Assist UN Women in the identification and engagement of international and national partners as well as sponsors, facilitating meetings and the finalization of partnership frameworks as needed;
  • Manage the participants list and the funding of participants in close collaboration with relevant departments and individuals within UN Women;
  • Support the development and dissemination of brief notes, advocacy material and other relevant outreach material for external audiences.

Ensure that logistical arrangements and facilities are timely in place and aligned with the needs of the event(s)

  • Support the identification of the venue for each event and in building and managing the relationship during and after the event with the event management company;
  • Assist the office in preparing, managing and closing the contract with associated suppliers, and ensure timely and quality delivery of all services required;
  • Ensure full production of the satellite session and related events, including securing that all technical requirements for broadcasting and satellite connection are in place.

Ensure follow-up on immediate event outcomes.

  • Draft an outcome report for review and endorsement by the national steering committee and dissemination to all stakeholders;
  • Draft key messages from the outcome report for dissemination at the related GA-75 events in September 2020.

Duration of the assignment

The total duration of the contract assignment will be 9 months between 15 February and 15 October 2020.

Upon receipt of the deliverables and prior to the payment of the installment, the deliverables, related reports and documents will be reviewed and approved by UN Women within one week of submission.

Required Skills and Experience

Education

  • Master’s degree in social science, business and administration, media and communications, or other related fields

Experience and skills

  • At least 7 years of experience in event management, partnerships engagement and global advocacy initiatives.
  • Proven track record in organizing large-scale events at the international level with participation from multiple stakeholders and countries.
  • Experience in dealing with different constituencies and delegations in the context of the UN system, with civil society organizations, and the private sector is required.
  • Knowledge of MENA region context or experience in the Jordan would be an added advantage.

Language and other skills

  • Excellent command of English both written and oral

A two-stage procedure is utilised in evaluating the proposals, with evaluation of the technical proposal being completed prior to any price proposal being compared. Only the price proposal of the candidates who passed the minimum technical score of 70% of the obtainable score of 100 points in the technical qualification evaluation will be evaluated.

Only the candidates who have attained a minimum of 70% of total points will be considered as technically-qualified candidate.

Financial/Price Proposal evaluation:

  • Only the financial proposal of candidates who have attained a minimum of 70% score in the technical evaluation will be considered and evaluated.
  • The total number of points allocated for the price component is 100.
  • The maximum number of points will be allotted to the lowest price proposal that is opened/ evaluated and compared among those technical qualified candidates who have attained a minimum of 70% score in the technical evaluation. All other price proposals will receive points in inverse proportion to the lowest price.
