Under the overall guidance of the Project Procurement Associate, and working closely with the rest of the Procurement team, the Procurement Intern is expected to render a broad range of administrative support to the procurement services to deliver the requirements of the Bottom-Up Budgeting (BUB) project being implemented by UNDP for the Department of Social Welfare and Development (DSWD).  

 

During the process, the intern shall promote a results-oriented approach to his/her work and output, while ensuring a client-focused and client-friendly manner of rendering his/her services.

 

The Procurement Intern shall not supervise any staff, but will be expected demonstrate seamless collaboration with the programme/project and operations teams within the Country Office (CO) environment, including UNDP partners and clients, where necessary.  

Devoirs et responsabilités

Within the overall framework of the UNDP Procurement Policy and UNDP Financial Rules and Regulations, the intern is expected to:

  • administer the distribution of RFQs/documents to incoming prospective bidders for ongoing bidding for goods and services;
  • undertake sourcing of potential but outstanding vendors/suppliers for goods/services being tendered and establish new reliable contacts;
  • assist in the preparation of matrix of quotation and comparative assessment of bid offers;
  • assist in the logistical coordination for delivery of goods to requisitioners;
  • encoding, updating, and screening of on-line registrants to the on-line database of individual and corporate consultants, suppliers of goods and other providers of services;
  • conduct of simple researches and data generation as may be required by the team for various official purposes;
  • provide assistance in the records/file organization needs of the team;
  • perform other administrative and clerical support as may be required by the Manager and the unit.

Expected output:

  • New list of reliable and credible vendors of goods and services to serve the project requirements
  • Matrices of comparison of quotations / offers
  • Organized records and documentation to support the issuance of Purchase Orders

Qualifications et expériences requises

Applicants must meet one of the following academic requirements:

  • (a) Be enrolled in a graduate school programme (second university degree or equivalent, or higher);
  • (b) Be enrolled in the final academic year of a first university degree programme (minimum Bachelor’s level or equivalent);

  • (c) Have graduated with a university degree (as defined in (a) and (b) above) and, if selected, must start the internship within one-year of graduation. Preferably Bachelor’s Degree Programme focused on Economics, Political Science, Development Management, or other fields directly related to various global development issues; 

Time Commitment:

  • Hours of operation is between 8:00am and 5:00pm Monday thru Friday;
  • Must be available to work between 24 and 40 hours per week for a minimum term of 240 hours to maximum of 6 months.

Language Requirements:

  • Fluency in English and national language of the duty station.
